How does this automation work?
With Bardeen, you can send automated follow-up emails to all attendees of a Google Calendar event, keeping everyone on the same page about action items discussed during the meeting. This automation not only ensures that nothing falls through the cracks, but also saves you precious time that could be spent on more valuable tasks. This workflow is particularly useful for project managers, team leaders, or anyone who organizes meetings where action items are discussed.
Here is how this workflow works:
- Find Google Calendar events: Bardeen searches for events in your Google Calendar based on the event name you specify. Google Calendar is a tool that helps you organize your schedule and share events with co-workers and friends.
- Find event participant emails: Once the event is found, Bardeen extracts the email addresses of all the participants in that event. This is the list of recipients for the follow-up email.
- Merge Text: Bardeen merges specific texts to create the email body. In this case, it merges "Action items:" with the summary of the event found in step 1. This serves as a reminder of the topics discussed during the meeting.
- Send email: Finally, an email is sent to all the participants of the event with the merged text as the email body. The email is sent through Gmail, one of the most popular email services, which keeps track of all your emails with threaded conversations, tags, and Google-powered search functionality.
How to run the playbook
If a meeting doesn’t lead to action, you probably should have had it in the first place. After all, the implementation of the meeting decisions is what drives things forward.

Step 1: Pin the playbook and integrate Google Calendar
First, click the “Pin it” button at the top of this page to save this automation. You will be redirected to download the browser extension when you run it for the first time. Bardeen will also prompt you to integrate Google Calendar and Google Drive
Step 2: Run the playbook
Run the playbook for a Google Event. It will find all the event participants and send them a follow-up email. You can also edit the playbook and add your next action to further customize the automation.
