To integrate Zoom with HubSpot, a series of steps must be followed to ensure a seamless connection between the two platforms. This integration enables users to add Zoom videoconference links to HubSpot scheduling pages, sync webinar registration and attendance details, view Zoom cloud recordings on contact timelines, and more. Before You Begin

Before initiating the integration process, there are prerequisites to be met:

  • You must be a super admin in HubSpot.
  • You must have admin permissions in the Zoom account.
  • If using the Business Units add-on, you can connect a unique Zoom account to each business unit.
  • For webinar integration, your Zoom account must have the Zoom webinar add-on.

Note: It is not recommended to connect your Zoom account to multiple HubSpot accounts if sensitive or private information shouldn't be accessible to all connected portals.

Install the Zoom App

To install the Zoom app:

  1. In your HubSpot account, click the Marketplace icon in the top navigation bar, then select App Marketplace.
  2. Use the search bar to locate the Zoom (Built by HubSpot) app.
  3. Click Install app.
  4. Enter your Zoom login credentials and click Sign in.
  5. Grant permission for Zoom for HubSpot to access your Zoom account by clicking Allow.
  6. Zoom will now appear under Connected Apps in HubSpot.

Manage Individual Zoom Settings

After installation, you can manage individual Zoom settings:

  1. Navigate to Reporting & Data > Integrations in HubSpot.
  2. Click the Zoom integration.
  3. Under My settings, configure connected user accounts, meeting recordings, and webinar sync settings.

Note: If your HubSpot and Zoom user accounts have the same email address, they will automatically link and cannot be unlinked, but you can switch to a different Zoom user account.

Manage Global Zoom Settings

To manage global Zoom settings:

  1. Within HubSpot, navigate to Reporting & Data > Integrations.
  2. Click the Zoom integration and go to the Global settings tab.
  3. Configure settings for syncing meeting data, webinar data, and exclusions for both recordings and contacts.

These settings allow for the synchronization of past, present, and future Zoom meetings and webinars for all or selected users in the HubSpot account.

Zoom Webinar Integration with HubSpot

For the Zoom webinar integration:

  1. After connecting Zoom, configure your HubSpot account's webinar sync settings.
  2. Choose how contacts are created in HubSpot from the integration.
  3. Use HubSpot workflows to add registrants to a Zoom webinar.

Webinar registration and attendance details from Zoom can be synced to HubSpot, allowing for detailed contact segmentation and automated registration for webinars through workflows.

Note: Zoom Events or webinars created as part of a Zoom Event are not supported by the integration.
