- Step 1: Extract emails from Google Sheets - Bardeen retrieves a table of data from a specified Google Sheets document and tab, focusing on the column that contains email addresses.
- Step 2: Create an email list array - The playbook transforms the column from the table into an array, isolating the list of email addresses to be used for drafting emails.
- Step 3: Compose email with OpenAI - Using OpenAI, the playbook creates a draft of an email based on a text prompt you provide. This allows for personalized and contextually relevant content for each email.
- Step 4: Generate draft emails in Gmail - Finally, Bardeen creates draft emails in Gmail with the composed content for each recipient in the array. The subject line can also be specified to match the content of the message.

Let’s set it up!
Step 1: Pin the playbook and integrate Gmail and Google Sheets
First, click the “Pin it” button at the top of this page to save this automation. You will be redirected to install the browser extension when you run it for the first time. Bardeen will also prompt you to integrate Gmail.
Activate Bardeen (or hit Option + B on Mac or ALT + B on a Windows machine on your keyboard) and click on the playbook card. The setup flow will start. Bardeen will ask you to specify a Google Sheets contact and an OpenAI prompt to create an email draft in Gmail.
Click on “Save Input” and checkmark Google Sheets and OpenAI. This will save you time from setup in the future. You can edit Inputs later by hovering over the playbook.
Step 2: Run the playbook to draft email with AI for a Google Sheets contact
To create an email draft for a Google Sheets contact in Gmail, press Option + B on Mac or ALT + B on a Windows machine on your keyboard to launch Bardeen. Click on the playbook card and enter your OpenAI prompt.
It will get information from the Google Sheets contact and use your OpenAI prompt to generate an email draft inside of Gmail.
