Creating a Template

To create a new email template in HubSpot, follow these steps:

  1. Navigate to Conversations > Templates in your HubSpot account.
  2. Click New template, then select From scratch.
  3. Enter a name and subject for your template. Keep the subject line under 45 characters to ensure it's fully visible to your recipients.
  4. To make the template private, click the Shared with everyone dropdown menu and select Private. You can also change who the template is shared with on the templates dashboard.
  5. To organize your templates, click the Select a folder dropdown menu to add the template to a folder.
  6. Enter the body of your email. Use the formatting options to modify the text, add hyperlinks, insert images, and include personalization tokens, snippets, sales documents, scheduling links, or videos as needed.
  7. Click Save template when you've finished.

Note: Avoid using curly brackets in templates as they can cause issues with HubSpot's template rendering service. Use a placeholder token instead to prompt users to enter the missing information before sending the email.

Sending a Template

After creating your email template, you can use it to send emails from the CRM:

  1. Navigate to your records (Contacts, Companies, Deals, Tickets) in your HubSpot account.
  2. Click the name of a record.
  3. In the left panel, click the Email icon.
  4. In the pop-up box, click Templates.
  5. Hover over the template you want to send and click Select.
  6. Customize the content, then click Send. Update any placeholder text before sending.

The email will be tracked automatically, and the information will be added to your template report data.

Deleting Templates

To delete an email template:

  1. Navigate to Conversations > Templates in your HubSpot account.
  2. To delete an individual template, hover over the template, click Actions, then select Delete. To delete multiple templates, select the checkboxes next to the templates you want to delete, then click Delete at the top of the table.
  3. In the dialog box, click Delete template(s).

Note: Private templates can only be deleted by the user who created them or a super admin with a paid seat.
