Introduction

EasyDMARC, a site that protects website owners from unauthorized use, found themselves struggling with inbound lead management. Their sales development representatives (SDRs) spent 15 hours per week verifying email addresses and company information in their CRM, HubSpot.

Problem

Every day, their SDRs spend 3 hours processing 40-50 new website leads. This manual process consists of the following steps:

  1. Verifying if email addresses exist inside HubSpot
  2. Checking if personal emails were associated with a business domain
  3. Searching each company’s DMARC records using their domain scanner tool
  4. Drafting personalized outreach emails with all the information. 
  5. Updating each contact’s information inside HubSpot

This process was costing their SDR team 15 hours per week.

Furthermore, 40% of their leads were thrown away due to being non-business domains (ex: Gmail, AOL, or Hotmail). This led to missed sales opportunities.

Bardeen's Solution

To solve their problem, Bardeen built several automations called “Playbooks", which are human-in-the-loop automations designed to streamline sales operations.

  1. Get HubSpot company info for a list of email addresses in Google Sheets
  2. Enrich a list of personal email addresses with ClearBit in Google Sheets
  3. Create an email draft using OpenAI for a list of email addresses in Google Sheets

Thanks to Bardeen AI's integration with HubSpot, Eltjo's team was able to extract HubSpot company details from the leads that were submitted on their website. All leads containing an email and company name ended up in a Google sheet that was enriched by Bardeen AI.

To ensure the highest lead quality, Eltjo's team used Bardeen to automate the process of checking each company using their domain scanner tool. This automation quickly and accurately obtained DMARC records saving his SDR's valuable time and effort.

These emails conveyed the company's unique value proposition and captured recipients' attention by using personal information found on Linkedin, HubSpot, and their DMARC record scores via the domain checker tool.
