How does this automation work?
Automating lead qualification can significantly enhance the efficiency of your sales process. This playbook will leverage Airtable's organizational capabilities to review meeting notes and determine lead quality. By using a tailored Bardeen AI Action, you can apply your specific criteria to classify and update your leads, enabling your sales team to focus on the most promising prospects.
Here's how this workflow qualifies leads from meeting notes within Airtable:
- Step 1: Extract Airtable values - Retrieve all relevant data from your specified Airtable, which acts as a versatile database for storing and sorting information from various sources.
- Step 2: Get meeting notes column - Select the column from your Airtable that contains the meeting notes, which will be analyzed for lead qualification.
- Step 3: Get contacts column - Identify the column with the contact emails. These will be used to update the qualification status in the corresponding rows.
- Step 4: Classify meeting notes - Using Bardeen AI Actions, analyze the text within the meeting notes to classify the leads according to your predefined qualification task.
- Step 5: Update Airtable records - Finally, update your Airtable records with the qualification results, aligning your sales team's efforts towards the most qualified leads.

Step 1: Pin the playbook and integrate Airtable
First, click the “Pin it” button at the top of this page to save this automation. You will be redirected to install the browser extension when you run it for the first time. Bardeen will also prompt you to integrate Airtable.
Make sure to set up your Airtable and include the email addresses of your contacts and the meeting notes.
Activate Bardeen (or hit Option + B on Mac or ALT + B on PC on your keyboard) and click on the playbook card. The setup flow will start. Bardeen will ask you to customize your sales qualification task. Once you click this option, the qualification flow will start. Bardeen will ask you questions about your business.
It will then ask you to describe your qualification criteria. It’s important to give clear details here, as this prompt will be the main way Bardeen will qualify your leads. For the example below, I described clearly the criteria for my qualification based on the meeting notes. I also named the categories.
Once this step is completed, Bardeen will ask you to train the model.
This step is optional. However, we recommend that you complete this step as it will increase the quality of your results.
After your qualification is entered, complete the setup by specifying or creating an Airtable. Bardeen will ask you to specify the column of your meeting notes and the column of the email addresses in your spreadsheet.
These should match what you have in your Airtable. For example, in the image above, you can see that the column that contains the notes is called “Notes” and the column that contains the emails is called “Email”
Click on “Save Input” and checkmark Airtable and your qualifier. You can edit Inputs later by hovering over the playbook.
Step 2: Run the playbook to qualify leads from meeting notes in Airtable
